Overview
A membership platform for a Kutchi community trust in Matunga with over 5,000 members. Membership standing is held in one place and drives what each member is entitled to: voting rights, and member rates at the trust's banquet hall in Matunga and its sanatorium in Lonavala. Members book both venues themselves rather than telephoning the office, and subscriptions, receipts and renewals are issued by the system.
The Challenge

What they needed

Membership, subscriptions and venue bookings ran on registers and phone calls. Establishing whether a member was entitled to vote, or to the member rate on a hall booking, meant asking someone who knew — and that knowledge lived with a few people. With more than 5,000 members spread across families, a single office became the bottleneck for every booking, every renewal and every enquiry, and the record of who had paid what sat in more than one place.

The Solution

What we built

We built a single system of record for members and the families they belong to, including KYC records and the community's own subcaste structure. Subscription cycles follow the Samvat year the trust actually works to, not the financial year, with transitions handled by the system rather than by hand. Membership standing then drives entitlements directly — voting rights, and member rates at the Matunga banquet hall and the Lonavala sanatorium — so eligibility is a property of the record rather than something a person has to recall. Members book either venue themselves through a secure login, and receipts, reprint requests and renewals are issued automatically. Role and permission templates let the office delegate day-to-day work without handing over administrative control of everything.
