What they needed
The desk closed deals over WhatsApp — metal, quantity, purity, rate and direction, agreed in a message thread — and staff then re-keyed each one into accounting by hand. That re-keying was slow, easy to get wrong on a rate quoted to four decimal places, and left no reliable record of who had entered what. Nothing connected the conversation where the deal actually happened to the system of record, so reconciling the two meant reading back through chat history.
What we built
Staff post a structured lock code into a single internal WhatsApp group whenever they close a deal. The system parses each line into a deal record and routes it through a maker-checker review screen, so a second person approves every trade before it reaches accounting. Approved trades are posted to OroSoft Neo Financials over its NeoConnect REST API, raising journal vouchers against a counterparty master that maps each party to its OroSoft vendor code. The same integration reads back balances, suppliers and stock codes, and the application adds stock-in-hand dashboards, financial-year-scoped trade registers, role-based access for concurrent operators, and an immutable audit trail of every action taken.
